Why stepping back is your best step forward: The power of intentional business planning.

Running a seasonal flower farm means you're constantly in motion - planting, harvesting, arranging, selling, posting, emailing. The to-do list never ends. When you're deep in the daily operations, it can feel impossible to find time to work ON your business rather than just IN it. Yet the most successful growers we know all share one common practice: they deliberately step away from the day-to-day to plan, reflect, and strategise.

The paradox of productivity.

It seems counterintuitive. With so much to do, how can taking time away possibly help? But think about it - when you're constantly running, you're following the path you're already on. You don't have the chance to look up and see if there might be a better route altogether.

You can spend years working harder and harder, thinking if you just keep trying to succeed. Yet, without knowing how all your hard work is paying off (or not) it’s hard to know whether you’re on the right track.

As Lorraine, a flower farmer from Auckland came to realise “It wasn’t until I took two dedicated days to dive into the data in my business that I realised that the place I was putting all my energy and effort into was generating only 20% of my revenue. Plus,  if I didn’t increase profitability quickly all my efforts were just being wasted. That clarity changed everything for Lorraine.

What happens when you create space to think?

When you intentionally set aside time to work on your business strategy, three powerful shifts occur:

1. You see patterns you can't notice in the day-to-day

The weekly rhythm of a growing season creates blinders. You might not realise that certain varieties consistently underperform, or that your Saturday market sales have been steadily declining while your florist orders are increasing. Only by looking at the bigger picture do these patterns become visible.

2. You reconnect with your "why"

Remember the vision that got you started? It's easy to lose sight of that when you're deep in pest management or invoice chasing. Dedicated planning time reconnects you with your purpose, helping you make decisions that align with your bigger goals rather than just responding to the urgent.

3. You move from reactive to proactive

Most flower farmers operate in reaction mode - responding to whatever the day brings. A proper planning session flips the script, allowing you to design the season you want instead of just surviving the one you get. From succession planting schedules to marketing campaigns, being proactive puts you in control.

How to create your own business retreat.

Creating a space to reflect and rethink as a leader of your business is crucial.
Here’s some practical steps you can take to organise your own business retreat:

Block uninterrupted time

  • Schedule at least one full day (two is better)

  • Turn off notifications and email

  • Arrange for someone to handle business matters or set them aside for these days

  • Find a location away from your home and business  if possible.

Prepare your focus areas

  • Gather your numbers (sales data, costs, crop yields)

  • List your biggest challenges and questions

  • Bring visual inspiration that excites you

  • Have a notebook dedicated just to this planning.

Structure your thinking

  • Start with reflection: What worked? What didn't? What surprised you?

  • Move to analysis: Why did these results happen?

  • Advance to planning: What specific changes will you implement?

  • End with action steps: What's your implementation timeline?

Make it sustainable

  • Schedule shorter monthly check-ins to stay on track

  • Create visual reminders of your key decisions

  • Share your plans with someone who will hold you accountable

4 ways that planning together beats planning alone.

While solo planning is valuable, there's a multiplier effect that happens when you plan alongside others who understand your challenges.

This isn't just about moral support - it's about the concrete benefits of shared wisdom:

  1. Fresh perspective When you've been looking at your business for years, blind spots are inevitable. Other business owners can often spot opportunities you might be missing or challenges you're underestimating.

  2. Tested solutions Why reinvent the wheel? Fellow flower farmers have likely tackled similar challenges and can share what actually worked - saving you time, money, and frustration.

  3. Accountability It's far too easy to make ambitious plans and then let them slide when you're accountable only to yourself. Sharing your commitments with peers creates gentle pressure to follow through.

  4. Network expansion Some of the most profitable opportunities come through collaborative projects with other growers - and these partnerships often emerge naturally during shared planning sessions.

Your next leap

Here’s how Australian flower farmer Jay, has used the FBA to boost her business planning:

"I joined the Floral Business Activator because I was looking to connect with and learn from other growers in the southern hemisphere. Farming can be a lonely occupation at times! What I found instead was a warm and welcoming community of people who share openly, help freely and genuinely care about the future of this flourishing industry. Julie and Christy have years of experience and through their thoughtfully put together resources helped me find a clearer path forward for our business. Their approach is holistic, focussing on each aspect of the business of farming to help growers build resilience, longevity and profitability."
